E-Bike Rental Terms & Conditions

These Terms & Conditions apply to e-bike rentals provided by Kyoto Bike Rentals. By making a reservation and using one of our bicycles, you agree to these Terms & Conditions.

1. Reservations

All reservations are subject to availability.

Customers are responsible for providing accurate booking and contact information. Any rider requirements shown on the booking page, including age, height, or bicycle-specific requirements, must be met.

We reserve the right to refuse or cancel a rental where it would be unsafe, unlawful, or impractical to provide the service.

2. Payment

The full rental amount must be paid within seven (7) calendar days of submitting the reservation.

If the scheduled rental date is less than seven days from the date of booking, we will provide a separate payment deadline.

Payment must be completed by the deadline communicated by us.

If payment is not received by the required deadline, we reserve the right to cancel the reservation and release the bicycle to another customer.

3. Rental Period

The bicycle must be collected and returned at the agreed location and within the rental period shown on your reservation.

Customers should allow sufficient time to return the bicycle before the scheduled end of the rental.

Additional charges may apply for late returns in accordance with the rates or conditions displayed at the time of booking.

4. Rider Responsibility

The person renting or riding the bicycle is responsible for:

  • Following Japanese road traffic laws and regulations

  • Riding carefully and responsibly

  • Following any safety instructions provided by our staff

  • Using the bicycle only for its intended purpose

  • Ensuring the bicycle is properly secured when unattended

  • Not riding while under the influence of alcohol, illegal drugs, or any substance that may impair safe riding

  • Not allowing an unauthorized person to use the bicycle

Helmet use is strongly recommended, and riders must comply with any applicable helmet requirements or safety instructions.

5. Condition of the Bicycle

Customers should check the bicycle when receiving it and notify us immediately if they notice any significant damage, defect, or problem.

Normal wear and tear will not be charged to the customer.

Customers may, however, be responsible for reasonable repair or replacement costs where damage, loss, or theft results from misuse, negligence, failure to properly secure the bicycle, or violation of these Terms.

6. Loss or Theft

If the bicycle is lost or stolen during the rental period, please contact us and the police as soon as reasonably possible.

Customers must cooperate with any reasonable investigation or insurance procedure.

Charges may apply for loss or theft where the customer has failed to take reasonable care of the bicycle.

7. Accidents and Emergencies

In the event of an accident:

  1. Stop riding and move to a safe location where possible.

  2. Contact emergency services or the police when appropriate.

  3. Contact us as soon as reasonably possible.

  4. Do not admit liability on behalf of [Company Name].

  5. Provide reasonable information regarding the incident if requested.

If the bicycle develops a mechanical problem, please contact us before arranging repairs yourself, except where immediate action is reasonably necessary for safety.

8. Cancellation

Reservations may be cancelled free of charge up to 24 hours before the scheduled rental start time.

Cancellations made less than 24 hours before the scheduled rental start time are not accepted and are non-refundable.

9. Cancellation by Us

We may cancel or modify a rental if we are unable to safely or reasonably provide the booked bicycle or service, including due to severe weather, safety concerns, unexpected mechanical issues, or circumstances beyond our reasonable control.

If we cancel the rental and cannot provide a reasonable alternative, you may choose between:

  • Rescheduling the rental at no additional charge; or

  • Receiving a full refund of the amount paid for the affected rental.

10. No-Shows and Unused Rental Time

Customers who do not arrive for their reservation without cancelling at least 24 hours in advance are not eligible for a refund.

Late arrival, early return, or voluntarily unused rental time does not normally qualify for a partial refund.

11. Personal Belongings

Customers are responsible for their own belongings during the rental.

To the extent permitted by applicable law, we are not responsible for personal items that are lost, stolen, forgotten, or damaged during the rental.

12. Liability

Cycling involves inherent risks. Customers are responsible for riding within their own ability and taking reasonable precautions for their safety.

Nothing in these Terms excludes or limits any liability or consumer right that cannot legally be excluded or limited under applicable law.

13. Governing Law

These Terms & Conditions are governed by the laws of Japan.

Any dispute relating to the rental will be handled in accordance with applicable Japanese law and by a court of competent jurisdiction, subject to any mandatory consumer protection provisions.

14. Changes to These Terms

We may update these Terms & Conditions from time to time. The terms applicable to your reservation will generally be those presented when your reservation was made, unless a change is required by law or agreed between us.
